Convert any PDF to PDF/A-1b, 2b or 3b, the ISO format courts, universities and archives ask for. Fonts are embedded, colours and metadata are pinned down and anything not allowed is removed.
Convertingβ¦
βbβ means the pages will always look exactly the same. It does not add the tags that the stricter βaβ (accessible) level needs.
Open PDFChai’s free PDF to PDF/A tool, drop in your PDF, keep PDF/A-2b selected (or choose 1b or 3b if you were told to) and click Convert to PDF/A. The tool embeds every font that wasn’t included, adds an sRGB colour profile and XMP metadata that identify the file as PDF/A, and removes what the standard forbids, such as JavaScript and hidden annotations. A list shows each change, and the text stays searchable. The file is converted in your browser and is never uploaded.

PDF/A is the version of PDF made for keeping documents for decades. It is an ISO standard (ISO 19005), and its rule is simple: everything needed to show the pages exactly as they look today must be inside the file. An ordinary PDF can lean on things outside it, such as fonts installed on the reader’s computer, colours that depend on a particular printer, scripts, links to external files or encryption keys. Twenty years from now those may be gone. A PDF/A file has none of those dependencies, so any compliant reader will draw it the same way.
That is why courts, government portals, universities, banks and archives so often insist on PDF/A. Many e-filing systems reject an ordinary PDF; thesis repositories ask for PDF/A before they publish a dissertation; and e-invoicing formats such as ZUGFeRD and Factur-X are PDF/A-3 files with the invoice data attached as XML. PDFChai’s PDF to PDF/A converter turns your existing PDF into one of the three levels most often requested: PDF/A-1b, PDF/A-2b or PDF/A-3b. The “b” (basic) level guarantees that the pages always look the same.
The converter does the work a desktop preflight tool would do. Fonts that were left out of the file are embedded with metric-compatible open fonts, Liberation Sans for Arial and Helvetica, Tinos for Times, Cousine for Courier, Carlito for Calibri and Caladea for Cambria, with the widths set to the file’s own so no line moves. It adds an sRGB output intent (and a CMYK profile when the file uses CMYK), writes XMP metadata that matches the document information, and removes JavaScript, unsupported actions, hidden annotations and other things the standard forbids. It all happens in your browser, so the document is never uploaded.

Everything you need to know β done in under a minute.
Drop the file onto the box or click to browse. Password-protected PDFs need to be unlocked first, because PDF/A does not allow encryption: use Unlock PDF with the password you know.
PDF/A-2b is the right answer for most portals and archives. Choose PDF/A-1b only when PDF/A-1 is named explicitly, and PDF/A-3b when the PDF carries attachments you need to keep, such as the XML of an e-invoice.
The tool embeds missing fonts, adds the colour profile and metadata, and removes what the standard does not allow. A progress bar shows each stage; most documents take a few seconds.
A short list explains every change, for example which fonts were embedded or which annotations were removed. The PDF/A file downloads automatically as yourfile-pdfa-pdfchai.pdf, and the first pages are shown so you can check them.
Understanding what happens behind the scenes helps you trust the tool β especially with confidential files.
Every font used on a page must be inside a PDF/A file. When one is missing, the converter embeds a metric-compatible open font, keeps only the glyphs the text needs and writes the file’s own character widths into it, so lines break and align exactly as before. Symbol and ZapfDingbats, used for bullets and ticked boxes, are replaced the same way.
An ordinary PDF can say “this red” without saying which device it means. The converter adds an sRGB output intent with an ICC colour profile, so every colour has one fixed meaning. If the file paints in CMYK, a CMYK profile is attached as well.
PDF/A files identify themselves with XMP metadata. The converter writes a packet with the PDF/A part and level, and keeps the title, author, subject, keywords and dates in step with the classic document information, which validators compare.
JavaScript, launch and sound actions, hidden or non-printing annotations, XFA form layers, LZW compression, transfer functions and references to external files are removed or rewritten. If a page still cannot comply, for example because PDF/A-1 does not allow transparency, only that page becomes a picture with invisible, searchable text.
PDF/A-1b for strict older systems, PDF/A-2b as the modern default and PDF/A-3b when attachments must stay.
Arial, Helvetica, Times, Courier, Calibri, Cambria, Symbol and ZapfDingbats are replaced by metric-compatible fonts with unchanged spacing.
Pages keep their real text. Even a page that has to become a picture gets an invisible text layer, so search and copy still work.
See exactly what was done to your file: fonts embedded, actions removed, annotations dropped, attachments kept or removed.
Attached files are kept and labelled the way PDF/A-3 requires, which is what e-invoice formats such as ZUGFeRD and Factur-X rely on.
The conversion runs on your device. There is no upload, no signup and no watermark.
This is one of the most common document tasks in work, study and everyday life. Here are the people who use it every day.
Many court e-filing systems accept only PDF/A. Convert pleadings, exhibits and scanned evidence before you submit, without sending confidential files to a third-party server.
Universities often require a PDF/A thesis or dissertation for the library repository. Converting from a Word or LaTeX export takes seconds.
Public bodies keep records for decades and frequently mandate PDF/A for archiving and for documents submitted through their portals.
Invoices, statements and audit files are often stored as PDF/A to meet retention rules, and e-invoices in ZUGFeRD or Factur-X format are PDF/A-3 files.
Records that must stay readable for years after a treatment or claim are a natural fit for an archival format.
Digitisation projects and document-management systems use PDF/A so that today’s files will still open on tomorrow’s software.
The everyday situations that bring people to this tool.
Messages such as “file must be PDF/A” or “fonts not embedded” are exactly what this converter fixes.
Export your thesis to PDF, convert it to PDF/A-2b and upload it to the university repository.
Convert signed-off contracts, invoices and statements before filing them, so they stay readable for the whole retention period.
Scanned documents are mostly images, which convert cleanly. Run OCR PDF first if you also want the text to be searchable.
Choose PDF/A-3b to keep files attached to the PDF, such as spreadsheets behind a report or the XML of an e-invoice.
Convert older PDFs from many different programs into one consistent, self-contained format before moving them to a new system.

If a portal names PDF/A-1b or PDF/A-3b, choose that. If it just says “PDF/A”, PDF/A-2b is the safe default.
PDF/A does not add text to scanned pages. Run OCR PDF before converting if you want to search or copy the text.
Any change to a signed PDF breaks its digital signature, and converting is a change. Convert first, then sign the PDF/A file with Sign PDF or your own signing tool.
PDF/A cannot be encrypted. Remove a password you know with Unlock PDF, convert, and store the archive copy somewhere safe.
Fill in form fields with Fill PDF Form first. PDF/A keeps the filled-in values exactly as they appear.
Save the PDF/A copy under a new name and keep the original, which may still contain things you want, such as interactive scripts.
Yes. It is free with no signup, no watermark and no limit on files or pages. Ads on the page keep the tool free.
No. The whole conversion runs in your browser. The original and the PDF/A copy never leave your device.
Use PDF/A-2b unless you are told otherwise; it is the most widely accepted. Choose PDF/A-1b only when PDF/A-1 is named, because it is stricter (no transparency, for example). Choose PDF/A-3b when the PDF has attachments you must keep.
“b” stands for basic conformance: the pages are guaranteed to look the same in the future. The “a” (accessible) level additionally needs a full tag structure for screen readers, which cannot be added automatically with good results.
No, in almost every case. Missing fonts are replaced by metric-compatible fonts with the file’s own widths, so lines stay where they were. The faces can differ slightly in shape from the fonts on your computer, because that is exactly what PDF/A fixes: the font is now inside the file.
Only pages that could not be made compliant are converted, for example a page that uses a symbol font that isn’t included, or a page with transparency when you chose PDF/A-1b. The picture keeps an invisible text layer, so you can still search and copy the text. Untick the option if you would rather keep such pages as they are.
Yes. Web links, bookmarks and filled-in form fields are kept. JavaScript, actions that launch programs or play media, and annotations that are hidden or never printed are removed, because PDF/A does not allow them.
PDF/A-1b and PDF/A-2b do not allow ordinary attachments, so they are removed and the list of changes says so. Choose PDF/A-3b to keep them; they are labelled with their relationship and type as PDF/A-3 requires.
Not while it is encrypted, because PDF/A forbids encryption. Remove a password you know with Unlock PDF, then convert the unlocked copy.
Converting changes the file, so an existing digital signature no longer verifies, and the tool warns you when it finds one. Convert first and sign the PDF/A copy afterwards.
The converter was tested with veraPDF, the open-source reference validator for PDF/A. If you need formal proof for a submission, you can run the downloaded file through veraPDF or the validator your portal uses.
There is no fixed limit, but the conversion happens in your device’s memory, so very large PDFs are best converted in a desktop or laptop browser.
